Job Summary

The Executive Briefing Center Events Coordinator position will assist the events team with large and small events taking place within our Executive Briefing Center and assist with welcoming and catering to attendees and company partners. The Coordinator will file/order supplies, recommend, propose, and negotiate with others to ensure efficient processes are being conducted for meeting planning.

 

The Executive Briefing Center Events Coordinator will report to the EBC Team Lead. This position is required to report to the SHI Somerset NJ office location as determined by SHI management.

Responsibilities

Include but are not limited to:

  • Logistics for all events including Travel, Lodging, Meeting Location/s, Catering and reservations, Offsite Activities, Transportation, Assisting with guest arrival, Speaker coordination, Scheduling of DCF, EIC and CIC tours, Customer gifts
  • Meet and greet with company employees, customers, and partners throughout events
  • Anticipate and meet customer needs while meetings are being conducted on-site
  • Coordinate with marketing teams in planning larger events for customers, Summits and Huddles
  • Answer questions from users and attendees about events
  • Provide hands on customer service at assigned Summit/Huddles duties which could include travel desk, catering orders, breakout session, bus logistics or luggage storage at the EBC
  • Maintain Master Tracking Report including but not limited to Expenses, Attendees, Presenters and Assist with ROI Review on smaller meetings
  • Cover  Executive Briefing Center Receptionist as needed
  • Requires being “on call” on Sunday’s for Monday events
  • Expected to maintain a business professional attire

Qualifications

  • High School Diploma
  • Customer Service Experience
  • Office Suite, Outlook, PowerPoint, Excel, Word

  • Ability to handle unanticipated changes and needs quickly and smoothly

Preferred Skills & Qualifications:

  • Experience with event planning and/or catering a plus in corporate environment, hotel, event conference center, banquet center
  • Experience working with senior level executives; experience working with sales organizations and enjoy the dynamic nature of a sales organizations
  • SharePoint
  • CRM – look ups
  • Experience with Concur or other Carrier tools (ex: JetBlue, United)
  • Experience with Cvent
  • Experience with audio/visual equipment such as laptops, projectors and microphones 
  • Experience booking travel arrangements and engaging with customers on travel options

Unique Requirements

  • Limited Travel for authorized events local offsite
  • Working flexible hours if needed; last minute schedule changes (due to inclement weather or other circumstances)

Additional Information

  • The estimated annual pay range for this position is $43,000 - $48,000 which includes a base salary and bonus. The compensation for this position is dependent on job-related knowledge, skills, experience, and market location and, therefore, will vary from individual to individual. Benefits may include, but are not limited to, medical, vision, dental, 401K, and flexible spending.
